STATEMENT OF PRIVACY & DATA PROTECTION POLICY

DEFINITIONS

The Company:  YouNique Wellbeing Studios, located at 11/11a, Windmill Drive, Bexhill, East Sussex, TN39 4DG.

The Client: The Person attending one of our Exercise & Movement Classes, Workshops, Complementary Therapy, or other Health & Wellbeing Service

The Practitioner: The person providing the ‘Service’

The ‘Service’: Refers to an Exercise & Movement Class, Workshop, Complementary Therapy, or other Health & Wellbeing Service held at YouNique Wellbeing Studios or within our Outreach Programme

The User: The user or viewer of our website

The Company is committed to ensuring that The Client’s, The Practitioner’s and The User’s privacy is protected.

We will not sell, distribute or lease your personal information to third parties.

PRIVACY & DATA POLICY – IN RESPECT OF ‘THE CLIENT’ & ‘THE PRACTITIONER’

On first contacting The Company we will ask you, The Client, or Practitioner for your name and contact details to register your interest.

On visiting your chosen ‘Service’ you may be asked to complete a medical questionnaire and / or registration form, which will need to be reviewed and updated (if necessary) at least every 6 months.

We may ask for your: name, address, contact number(s), email address, and any medical conditions.  We require this information to comply with health and safety guidelines, to understand your needs during attendance and to be able to keep you informed about any changes to the ‘Service’.

The following data is then transferred to our attendee electronic database, and paper-based for class register lists: – your name, contact number and email address.  Where you, The Client, has given consent, your name and email address is transferred to Mailchimp (- a third-party piece of software used to manage our newsletter).

STORED DATA

ELECTRONIC 

  • Data stored on the computer used in the office is protected via a Firewall, installed anti-virus software and the machine is password protected

  • This website is protected by the SSL (Secure Sockets Layer) certificate provided by Squarespace. This certificate improves security and secures connections to prevent hackers from impersonating The Company or stealing The User’s information.

PAPER FILED

  • Medical questionnaires and / or registration forms completed by past Clients are stored for 7 years in a lockable filing cabinet, after which time they are securely shredded.

  • For Clients who are on-going attendees at YouNique Wellbeing Studios, medical questionnaires and/or registration forms will be stored securely for the duration of attendance at The Company.

  • Any accidents (or incidents) will be recorded in the Accident Book and then filed away in a lockable filing cabinet for 7 years, after which time it will be securely shredded.

If a Client arranges an appointment directly with a Practitioner, name and contact details will not be shared with The Company, without The Client’s permission.  When visiting The Company there will be opportunities to opt into receiving newsletters and information from The Company.

THIRD PARTIES WEBSITES

NEWSLETTER
The Company uses Mailchimp to manage its newsletter.  To register for our newsletter The User is required to fill in their details on the form at the bottom of the Home Page of The Company’s website.  The Company aims to send a newsletter on a regular basis (no more frequent than once a week).  The newsletter provides the latest news from The Company, including information about the ‘Services’ that are new and upcoming.  The Company gathers statistics around email opening and clicks using the analytical tools provided by Mailchimp, this helps us monitor and improve our newsletters.

SOCIAL MEDIA
We use social media platforms: Facebook and Twitter.  Any private messages received via these platforms are stored on those platforms.

WEBSITE

The Company’s website uses cookies to monitor browsing preferences.

The Company’s website contains material which is owned by or licensed to The Company. This material includes, but is not limited to, the design, layout, appearance and graphics.  Reproduction is prohibited.

The Company’s website includes links to other websites. These links are there for The User’s convenience to provide further information.  They do not signify that The Company endorses the website(s).  The Company has no responsibility for the content of the linked website(s). The Company encourages The User to read the privacy statements on the other websites that are visited.

The information, software, products and services included in or available through The Company’s website may include inaccuracies or typographical errors.  Changes are periodically added to the information herein.  The Company and/or its suppliers and/or The Practitioners may make improvements and/or changes to The Company’s website at any time.  Advice received via The Company’s website should not be relied upon for personal, medical, legal or financial decisions and you, The User, should consult an appropriate professional for specific advice tailored to your situation.

The Company and/or its suppliers and/or The Practitioners make no representations about the suitability, reliability, availability, timeliness and accuracy of the information, software, products, services and related graphics contained on The Company’s website for any purpose.  To the maximum extent permitted by applicable law, all such information, software, products, services and related graphics are provided ‘as is’ without warranty or condition of any kind.  The Company and/or its suppliers and/or The Practitioners hereby disclaim all warranties and conditions with regard to this information, software, products, services and related graphics, including all implied warranties or conditions of merchantability, fitness for a particular purpose, title and non-infringement.

The Users use of this website and any dispute arising out of such use of the website is subject to the laws of England, Northern Ireland, Scotland and Wales.

REMOVAL OF YOUR DATA
The Client and The User have a right to access copies of the information kept about you by The Company.  You can request that your personal information be removed at any time by emailing us at info@youniquewellbeing.co.uk and it will be deleted immediately and you will receive an email confirmation to this effect.
